Virtual Meeting Request 

How do I ask to set up a virtual meeting while also advocating for the platforms I know best?

The key here is to let the alumni or employer share their preferences or requirements. If you have trouble accessing these platforms, you can communicate this with the contact. Please keep in mind that some employers may require using a specific platform for security reasons which means downloading the technology and testing it well in advance of the meeting. Sample email below to advocate for the online platform you are most comfortable with. 

Dear [Title. Last name],

My name is [your name], and I am an [year in school] interested in [insert academic interests, community activities etc.] from [insert your hometown]. I am reaching out because [insert reason]. I would appreciate the opportunity to learn more about [name two or three things you’d like to discuss based on your personal interests and what you’ve learned about the person through any online research].

When would be a good date and time for us to speak? [You can insert some of your availability here if needed.] Also, would you prefer to speak on the phone, over Zoom or another video conference platform? I have access to/familiarity with the following platforms: [insert platforms you are familiar with using].

[Your name]

If I cannot access the alumnus or employer’s preferred platform, how can I advocate for an alternate platform or means?

Dear [Title. Last name],

Thank you for your response. After attempting to access [insert name of the platform], I am unable to access the platform/am having trouble with a consistent connection. I would like to do everything possible to continue this conversation and to be as flexible to your needs. Would it be possible to set up a phone call in place of using [insert platform name]?

The University of Virginia has also given all students access to Zoom, so I would be happy to utilize this platform if that is accessible for you.

How to Follow-up After a Career Center Event or Employer Program 

During the virtual events, you may hear from a professional, recruiter, or alumni that you would like to engage in further conversation. This is natural and we absolutely suggest you follow-up with this person!  If this occurs for you and you aren’t sure what to say, use the template below to reach out. 

Hello [Name],

I hope you are doing well and staying safe during this difficult time. I [noticed your posts in X professional group/attended your webinar on Y/chatted with you briefly during Z school’s virtual alumni event]. I found your comments on/story about X to be very [educational/inspiring/etc.]. 

As I am a [UVA Program/Major] student and exploring future career options, I would greatly appreciate the opportunity to speak with you further about your experience. I am very interested to [hear about your role at X company/get your perspective on working in Y role/learn about what it’s like to work at your company/get some advice about how to break into the industry]. Would you be available for a brief call or video chat in the coming weeks? [Share availability and time zone.] I can set up a Zoom meeting or would be happy to use another platform if preferred.

Follow-Up Phone Call Request
