What is Handshake?

Handshake is the new recruiting platform for University of Virginia students and alumni.  As an employer, you will be able to post job/internship listings, register for career fairs, manage your on-grounds interviewing, advertise your presentations or workshops, and more!  Handshake also allows you to customize your profile and job listings to your liking.

How do I create an employer account in Handshake?

To create an employer account, begin by visiting app.joinhandshake.com and then selecting Sign up for an account.  You will then be guided through the registration process (make sure to select “Employer” when prompted for the type of account you are creating).

How do I post an opportunity in Handshake?

  1. Make sure that you have submitted an approval request to the school that you would like to post a job for.

  2. Start by selecting the Jobs tab on the left side of the navigation bar to bring up the Jobs Overview page.

  3. Next, select New Job in the upper right corner of the page.  After filling out as many of the fields as you can, select Create Job.

  4. You can then specify job qualifications to match the job up with qualified students at the University.  Make sure to click Update Qualifications after completing this form.

  5. At the Job Summary page, you are able to see an overview of all of the information you just filled out for your job.  On the left side of the page you will see a Post to Schools dropdown menu.  Make sure that the University of Virginia is selected.

How can I share information about my jobs and events with students?

As long as you have posted a job to our school, students will be able to find it if the position is active.  Filling out as many fields as possible on the “Create a Job” form will help students find your job posting when searching for specific jobs.

Are there resume books in Handshake?

Yes, you can create resume books in Handshake.

  1. First, search for students by certain specifications by clicking on the “Students” tab on the left side of the navigation bar and using the options form to filter.

  2. After generating the list of students based on your search criteria, use the top checkbox to select each of these students.

  3. In the top right of the menu click “Bulk Actions” and select download application packages as a PDF or Zip file to have the packages sent you via email.

Note: You must have been granted permission by the University to search for students in order to generate resume books.

How can I get more applications for our current opportunity?

  1. When choosing the majors that can apply for the position, consider a wide range, as some programs cover similar information and skills.  Including more majors in your posting will allow more candidates to apply.

  2. Include as much detail as possible throughout the post. The more descriptive job postings tend to get more, and better qualified, applicants.

  3. Explain your application process. Candidates need to know how to apply for the position.

How do I request and manage an interview schedule in Handshake?

  1. Click Interviews on the left navigation bar

  2. Click the Request Interview Schedule tab in the upper right corner.

  3. Fill out the basics section of the form.

  4. Use the step-by-step buttons (or the Next button) at the bottom of the screen to move to the next step: Qualifications. You have two options for qualifications to an interview schedule:

  5. Click Timeline or Next at the bottom of the screen to move to the next step.

  6. Select Request

  7. Your interview schedule will now be sent to the university you selected in the Basics section. Depending on the permissions you have at the school, the interview will be automatically approved or it will go into a pending status at the university. You will be notified when your schedule has been approved or declined. To learn more about the roles a school can assign, read "What are the list of permissions a school can assign?"

How do I view and edit my career fair registration?

Click on the link that you received to register for the career fair.  Follow the instructions on the form to register for the fair.  A step by step guide for registering can be found on Handshake’s Support Page.

You can view your registration at any time by clicking the View Registration option (this also lets you know that your registration was successful).
If you need to edit your registration, you must reach out to the UVA Career Center.

How do I manage my notifications and/or unsubscribe from emails?

  1. Log in to your Handshake account

  2. Click Profile at the top of the black sidebar on the left side of the page.

  3. On your profile page, click on the Account tab at the upper right-hand side.

  4. Select the option for Notification Preferences

  5. Modify your notification preferences.

How can I work with student groups?

Connect with the appropriate Career Community to reach out to these student groups.

How do I create an On-Grounds employer account in Handshake?

How do I create an On-Grounds employer account in Handshake?

First, find out whether or not you already have an employer account.  Click on your name in the upper right hand corner of the Handshake platform screen.  If you don’t see Switch to Employers Account as an option in the Account Settings dropdown, you will need to either create your school’s employer account or simply join the employer account that has already been created for your use.

To create an On-Grounds employer account, you must create a new employer account with the same email address as your career services account.  While filling out the registration form, be sure to connect with the University of Virginia.

You will be prompted to fill out the Company Profile for the school at the end of the form if it does not already have one.

Note: Once you have your employer account, we encourage you to invite all staff members associated with your school, inside and outside career services, to join the employer account so they too can enjoy the benefits. (To do this you can send an email to faculty or use the Invite link in the staff management page).

How do I post an On-Grounds job to Handshake?

  1. Log into your Handshake account

  2. Make sure you are a part of the On-Grounds employer account (you should be able to click on your account in the top right and switch to an Employers Account).

  3. In the black sidebar on the left side of the page, click on the Jobs tab.

  4. At the top right side of the page, click on the New Job tab.

  5. On the first page of information, be sure to select your department name from the Division drop-down menu

  6. Select the On Campus Student Employment option.

  7. When asked to assign a contact, you can either choose from the drop-down menu of existing contacts or you can add a contact. If you add a contact, you will need to go into the drop-down menu provided and select their name from the list.

  8. Make sure that on the requirements page, the Located in the U.S.? box is NOT checked. Otherwise, international students cannot apply.

  9. Be sure you post the job to University of Virginia. This will be located on the left side of the page near the end of the job posting process.

How do I post a job that can only accept students with Work Study awards?

Follow the same steps as above for creating an On-Grounds Job, with the following addition:
If the position is funded through Work Study, be sure to check the Work Study Job? box at the top of the Requirements portion of the posting. Note that opportunities marked Work Study will only be available to students with Work Study awards.

How do I request an interview date in Handshake?

  1. Click Interviews on the left navigation bar

  2. Click the Request Interview Schedule tab in the upper right corner.

  3. Fill out the form.

  4. Hit the Next button at the bottom of the screen to move to the Qualifications form. Here you can choose whether students apply to this interview schedule through Associated Jobs, or they apply to this interview directly (which allows you to define applicant qualifications that limit Hoo can apply).

  5. Click the Next button. Here you can select a date you would like to interview on grounds and add the number of rooms you will need. If the school you’re working with hasn’t provided an interview Timeline template, you can create one by clicking the Enter Dates Directly button in the Timeline section, then select the time slots you would like to interview students in.

  6. Select the Request button. Your interview schedule will now be sent to the university. Depending on the permissions you have at the school, the interview will be automatically approved or it will go into a pending status. You will be notified when your schedule has been approved or declined.

How do you select applicants for OGI?

  1. Click Interviews on the left hand navigation bar

  2. Click on the name of the interview you’d like to view applicants for.  You’ll be taken to the interview’s details page.

  3. Click the Applicants tab in the top right corner of the page to be taken to the Applicants overview page.

  4. Check the checkbox next to each of the applicants you’d like to take action on. To check all of the applicants, check the Student box at the top of the list.

  5. To select a student to interview you will need to select Make Alternate or Make Primary next to his or her name.

When is my pre-select deadline? When is my resume submission deadline?

  1. Click Interviews on the left hand navigation bar.

  2. Click on the interview to open that event.

  3. Scroll to the section titled Timeline and find deadlines and dates.

Can I adjust my OGI deadline dates?

Please contact the UVA Career Center at (434) 924-8900 to adjust OGI deadline dates.

How many students can I select?

If you are conducting 30-minute interviews, you can select up to 12 students, 9 students may be selected for 45-minutes interviews, and 6 students may be selected for 60-minute interviews. You may also choose as many alternates as you would like.

How do I pre-select someone Hoo did not submit their resume directly to me?

  1. Click on the Interviews tab.

  2. Click on the date of the event you want to edit.

  3. Select Review Schedule which is listed under Tasks.

  4. Scroll to the bottom of the applicant list.

  5. Click Add New to add a new applicant.

  6. Type the student’s name where it says Keyword.

  7. Click Select to search the student’s name.

Select the position and click Submit.

How many rooms have I reserved?

Click on the Interviews tab. Here you can see the interview dates and the number of rooms requested on each date.

How do I add a job to my interview schedule?

  1. Click on the Interviews tab.

  2. Click on the Schedules tab.

  3. Click on Attach Positions for Recruitment.

How do I remove a job from my interview schedule?

  1. Go to the Interviews tab.
  2. Select the desired interview schedule.
  3. Go to the Edit tab at the top of the schedule.
  4. Go to Qualifications tab at the bottom of the interview schedule.
  5. Find the job you would like to remove from the schedule and click the 'x' on the right side.
  6. Know that if there are no other jobs attached to the interview schedule, Handshake will default to allowing students to apply directly to the schedule until a new job is associated.

When creating/editing the job posting, select the majors of candidates that should apply to the opportunity. Consider a wide range of majors, as some programs cover similar information and skills. Students will then be able to see your posting and can filter jobs by the criteria you set. Make sure to use good keywords when describing the job to help students find your posting more easily during their job search.

What are the University of Virginia Career Center Hire and Offer Policies?
